1. Who we are
Prezwell Accountants ("Prezwell", "we", "us") is the data controller for personal data processed through prezwell.com and our client portal. Contact: asim@prezwell.com.
2. Data we collect
- Identity and contact details (name, email, phone, address, date of birth).
- Business details (company number, UTR, VAT number, directors and shareholders).
- Financial records, bank statements and documents you upload.
- Identity verification and anti-money-laundering (AML) check results.
- Portal usage, sign-in and security logs.
3. Why we use it (lawful basis)
- Contract — to deliver the accounting, tax, payroll and audit services you engage us for.
- Legal obligation — Money Laundering Regulations 2017, HMRC and Companies House requirements, ACCA rules.
- Legitimate interests — running and securing our practice, and relevant service communications.
- Consent — marketing emails, which you can withdraw at any time via the unsubscribe link.
4. Who we share it with
We share data only as needed to deliver your services: specialist software platforms that process work on our behalf (such as Luca, AccountsPro, AccountsGear, AuditGear and TaxGear), identity-verification providers, payment processors (Stripe), HMRC, Companies House and our regulators. All processors are bound by data-processing terms. We never sell your data.
5. Retention
AML records are kept for five years after the business relationship ends, as required by law. Accounting and tax records are kept for at least six years. Other data is deleted when no longer needed.
6. Security
Data is encrypted in transit and at rest, access is role-based, and two-factor authentication is required on every sign-in. Sensitive credentials are stored encrypted and never shown in full.
7. International transfers
Data is hosted in the UK or EU where possible. Any transfer outside the UK uses approved safeguards such as the UK International Data Transfer Agreement.
8. Your rights
You can request access, correction, deletion, restriction, portability or object to processing by emailing asim@prezwell.com. Some data must be kept to meet legal duties. You may complain to the Information Commissioner's Office at ico.org.uk.
9. Cookies
We use essential cookies to keep you signed in and secure. We do not use advertising cookies.
